Freelancers often struggle with disorganized workflows, scattered client communications, and the difficulty of managing administrative tasks. Our team at Beyond Labs tackled these issues with a user-centered approach, optimizing Workvio’s design and functionality based on real freelance experiences and pain points. The platform was built to integrate key features like project tracking, time logging, and invoicing, all in one place, to help freelancers focus more on their work and less on logistics.

The platform combines time tracking, invoice generation, expense management, and project scheduling in one intuitive interface. Workvio enables users to add clients, link projects, and organize essential information for streamlined workflows, allowing freelancers to track their time on tasks effortlessly. Integrated with Google Calendar for scheduling and meeting coordination, Workvio offers a robust experience, from task logs to automatic invoice syncing, ensuring every billing detail aligns with clients and projects. Enhanced by responsive design and user-friendly navigation, Workvio provides freelancers with an efficient, visually cohesive tool that simplifies business management and optimizes productivity.

Process & Team Structure
To bring Workvio from concept to launch, we assembled a dedicated Product on Demand (POD) team at Beyond Labs. This team consisted of designers, developers, a project manager, and a QA engineer, all working under the guidance of an experienced product lead. The collaboration was structured as follows:
1. Team Composition
- Product Lead: Managed overall vision, roadmap, and alignment with client needs.
- UI/UX Designer: Focused on user experience, wireframing, and prototyping.
- Frontend Developer: Built the user interface with a focus on responsiveness and interactivity.
- Backend Developer: Managed Firebase database integration, authentication, and API development.
- QA Engineer: Conducted testing throughout the sprints, ensuring functionality and bug-free performance.
- Project Manager: Coordinated sprints, set priorities, tracked progress, and managed client communication.
2. Agile Methodology & Sprints
- Sprint Planning: We divided the project into 2-week sprints, each with specific goals. The team would meet at the start of each sprint to define the tasks and deliverables, prioritize user stories, and set timelines.
- Task Organization with JIRA: Each task was broken down into manageable subtasks, organized in JIRA, and assigned to the team based on expertise. We used Kanban boards to track progress and ensure transparency.
- Daily Stand-ups: Every morning, we held quick 15-minute stand-ups where each team member shared updates, any blockers they faced, and their focus for the day.
- Bi-weekly Reviews: At the end of each sprint, we held a sprint review with the client to demo completed features, gather feedback, and adjust priorities for the next sprint.
3. Design Thinking Workshops
- User Persona & Journey Mapping: Early in the process, we conducted workshops to build user personas and map out the freelancer journey, identifying pain points and essential needs.
- Wireframing & Prototyping: Using Figma, the designer developed initial wireframes and interactive prototypes. These prototypes underwent multiple iterations based on feedback from both the client and a small group of freelance testers.
- User Testing: We conducted A/B testing and usability testing with actual freelancers to ensure that the design choices aligned with real-world needs, making adjustments based on feedback.
4. Quality Assurance & Testing
- Automated & Manual Testing: Our QA engineer conducted both manual and automated tests to ensure functionality and stability. Tests covered all features, from user authentication and time tracking to invoice generation.
- User Acceptance Testing (UAT): After development, the final sprint focused on UAT with the client to validate the end-to-end flow. Adjustments were made to align with feedback, and minor bugs were resolved before launch.
Design Insights
At Beyond Labs, we emphasized a user-centric design philosophy to craft an intuitive and visually appealing interface. Workvio’s UI focuses on clarity, responsiveness, and ease of navigation, allowing freelancers to interact with the platform effortlessly. Our design process included extensive user testing and feedback loops to ensure the platform meets freelancers’ needs with a clean, minimalistic, and highly functional interface.
